1. About this policy

Citadel CreativeStudio ("we", "us", "our") is a creative production studio based at 14 Hayberry St, Crows Nest NSW 2065. This policy explains how we collect, use, store and share personal information when you visit citadelcreative.com.au, get in touch with us, book a studio, or work with us on a project.

We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

2. What we collect

  • Contact details, such as your name, email address, phone number, company and role.

  • Project details you share with us, such as the type of work, timing, budget range, briefs and reference files.

  • Business records if we work together, such as quotes, contracts, invoices and the billing details needed to get paid. We don't store card numbers on this website.

  • Photos, footage and audio of people who appear in our productions, such as talent, staff, students and event guests.

  • Website data collected automatically, such as your IP address, browser and device type, pages visited and the site that referred you.

We only collect sensitive information (for example health information) when a production genuinely needs it and you've agreed, or when the law allows it.

3. How we collect it

Mostly straight from you, when you fill in our enquiry form, email or call us, make a booking, or work with us. Sometimes it comes from someone briefing us on your behalf (a colleague or your agency), or from public sources such as your business website or LinkedIn. Our website also collects some data automatically through cookies (see section 8).

You're welcome to ask us general questions without telling us who you are. To quote on or work on a project, we'll need your details.

4. Why we use it

  • To answer enquiries and prepare quotes.

  • To plan, shoot, edit and deliver projects, including crewing, casting and logistics.

  • To invoice, keep business records and meet our legal obligations.

  • To show finished work in our portfolio, showreel and social channels, where our client has approved it and the right releases are in place.

  • To understand how people use our website and improve it.

  • To send the occasional update about our work, only if you've opted in or we already work together. Every email has an unsubscribe link, in line with the Spam Act 2003 (Cth).

We don't sell or rent personal information to anyone.

5. If you appear in our work

If we photograph, film or record you, we'll usually ask you to sign a release, or our client (your employer, school or event organiser) will arrange consent. The release explains how the material can be used. For anyone under 18, consent comes from a parent, guardian or the organisation responsible for them. If you have a question about footage or photos you appear in, get in touch and we'll help.

6. Who we share it with

Only the people who need it to do the job:

  • Crew, talent and freelancers working on your project, who are bound to keep it confidential.

  • Our clients, for the work we produce for them.

  • Service providers who help run the business, such as website hosting (Squarespace), email, cloud storage, file delivery, accounting and payment providers.

  • Our professional advisers, such as our accountant, lawyer and insurer.

  • Government agencies or regulators, when the law requires it.

7. Overseas storage

Some of our providers store data outside Australia. Our website and enquiry form are hosted by Squarespace in the United States, and other tools may use servers in the US, Europe or elsewhere. We choose providers with sound security and privacy practices and take reasonable steps to make sure your information is handled consistently with the Australian Privacy Principles.

8. Cookies and analytics

Our website uses cookies that it needs to work properly, plus Squarespace Analytics, which shows us in aggregate how people find and use the site. You can control cookies through our cookie banner (where shown) or your browser settings. Blocking some cookies may stop parts of the site from working as they should.

9. Keeping it safe

We store personal information in password-protected systems, and only people who need it can see it. We keep business and tax records for as long as the law requires (usually seven years), and we delete or de-identify personal information once we no longer need it. Production files are archived in line with our agreement with each client.

If a data breach is likely to cause serious harm, we'll let you know and notify the Office of the Australian Information Commissioner (OAIC) where the Notifiable Data Breaches scheme requires it.

10. Accessing or correcting your information

You can ask for a copy of the personal information we hold about you, or ask us to correct it. Email us and we'll respond within 30 days. We may need to confirm who you are first.

11. Questions and complaints

If you have a concern about how we've handled your personal information, email us first and we'll respond within 30 days. If you're not happy with our response, you can contact the OAIC at oaic.gov.au or on 1300 363 992.

12. Changes to this policy

We'll update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
